Payments

Payments are the record of money received against your orders. Commerce Kitty tracks payment status for every order so you know at a glance which orders have been paid, which are pending, and which ran into trouble.

How payments work in Commerce Kitty

Commerce Kitty is not a payment gateway. It does not charge credit cards, hold funds, or talk to Stripe for marketplace sales. That work already happens on the marketplaces you connect. Shopify handles Shopify checkouts. Etsy handles Etsy checkouts. Amazon handles Amazon.

What Commerce Kitty does is record the payment state reported by each channel. When Shopify tells the plugin that an order was paid, Commerce Kitty creates a payment record set to completed. If Etsy tells the plugin a refund was issued, the payment record updates to refunded. The goal is a single view of where every order's money stands, across every marketplace, without you checking five different dashboards.

For manual orders and offline sales, you record the payment yourself. This is how phone orders, wholesale invoices, and in-person sales get tracked alongside the rest.

Payment states

Cart

The payment is attached to an order still in the cart state. No money has moved and nothing is committed yet.

New

The payment has been created but not yet processed. An order that just came in and is waiting on the channel to confirm funds sits here.

Processing

The payment is in progress. The gateway or channel has accepted the charge and is working on it. This is a short-lived state for most channels.

Completed

The payment succeeded. Money has been received. This is the state most imported marketplace payments land in because the marketplace only reports orders after payment clears.

Failed

The payment attempt failed. The card was declined, the bank rejected it, or the channel reported an error. The order needs attention.

Cancelled

The payment was cancelled before it completed, typically because the order itself was cancelled.

Refunded

The payment was completed and has since been refunded. Commerce Kitty updates the record when a refund is reported by the channel or recorded manually.

The payments list

The payments page shows every payment across every channel. You can filter by state, by channel, by order, by date range, and by amount. Use it to find failed payments that need follow-up, to pull all refunds from last month, or to reconcile a payout against the orders it covered.

Manual payment recording

For orders you create manually, you record the payment yourself. The payment form lets you set the amount, the method (cash, check, bank transfer, or any custom method you track), and the state. This is how you keep offline sales in sync with the rest of your numbers.

Payment data for marketplace orders is only as accurate as the channel reports. If a refund happens on Shopify and the plugin has not yet synced, it will not show here. Most plugins sync frequently but there can be a short delay.

Commerce Kitty does not process marketplace payments itself. Do not expect it to move money, issue refunds to the customer's card, or retry failed charges for you. Those actions happen inside the marketplace.
